About Us:
UpEnergy (www.upenergygroup.com) is a distribution company that makes clean energy technologies available to people in the developing world by addressing the last mile distribution challenge. UpEnergy is a technology agnostic organization that sources high quality, energy-efficient technologies like cookstoves, water filters and solar lights from reputable manufacturers. These technologies are then warehoused, marketed and sold through our own in-house sales force as well as through other local distributor channels. UpEnergy creates carbon credits from the distribution of these products which reduce carbon emissions for every year that they are in use.

In Uganda, UpEnergy has been in operation since 2011 and has built a network of sales and distribution partners to support ongoing sales of our products. We have a fully operational local team that operates under the SmartHome brand. The Kampala team performs sales, finance, marketing and inventory management functions.

Job Summary:
The Office Manager will primarily offer administrative and operational support to increase organizational efficiency and effectiveness. This role requires people management experience, high organizational ability and excellent interpersonal skills.

Key Duties and Responsibilities:
1.  Management of UpEnergy Security team and fleet drivers:

    Manage all aspects related to the employment of the above mentioned personnel including scheduling, time off requests, shift swapping, equipment maintenance, and any other responsibilities as they may arise.

2. Develop an effective organizational system and set of controls within the Office Management function:

    Implement effective tracking of internal office expenses and petty cash disbursement.
    Assist in preparation for annual carbon audits.

3. Management of Office Supplies:
    Ensure all office supplies including stationary, janitorial supplies, furniture etc. are in stock and in appropriate working condition.
    Ensure all sales receipt books and vouchers are appropriately used and accounted for by sales staff.

4. Work in liaison with the Landlord and Janitorial staff:
    Scheduling and coordinating office cleaning and ground maintenance.
    Communicating with landlord to report any issues and repairs required.
    Ensuring all rent and utilities payments are made on time.
    Perform any other duties as assigned in the administration realm.

Qualifications, Skills and Experience:
  •     The applicant must possess a bachelor’s Degree or equivalent required.
  •     A minimum of two years’ experience, ideally in an office management/administrative roles.
  •     Significant experience in people management.
  •     Past working experience managing an office and/or personnel required.
  •     Prior experience with office cash management preferred.
  •     The Office Manager should ideally be a multi-tasker who is highly creative, ambitious and possess the ability to take initiative.
  •     Be highly passionate about UpEnergy’s mission.
  •     Basic knowledge of clean energy products and rural distribution is an added advantage.
  •     Exhibits excellent problem-solving ability and judgment.
  •     Fluent in both written and spoken English required as well as working knowledge of one or more local Ugandan dialects.
  •     Strong written and verbal communication skills.

Salary and Benefits:
The Office Manager will be compensated competitively and commensurate with experience.
